Generate a De-identified Client Trip Summary Using Co-Pilot 

This guide explains how to use Copilot with the High Level Booking Report to generate a de-identified summary of unique clients and their total trip counts for a selected reporting period. The output excludes personal information and can be used for reporting and analysis purposes while maintaining client privacy. The approach was developed in response to a reporting requirement from the Community Transport Organisation (CTO) and can be reused for similar reporting needs.

Before You Begin

Ensure you have access to:

  • The High Level Booking Report
  • Co-Pilot within Excel
  • Reporting data covering the required date range (for example, the 2025/26 financial year)

 

 Step 1: Run the High Level Booking Report

  1. Navigate to Reports in the menu sidebar.



  2. Set the date range required (for example, 1 July 2025 to 30 June 2026).
  3. Run the report.

The report will return booking and trip data for the selected period.

 

Step 2: Open the Report in Excel

  1. Export the Booking Report to Excel.
  2. Open the exported file in Microsoft Excel.
  3. Open the Copilot pane by selecting the Copilot button in the Excel toolbar.

Step 3: Use Copilot to Generate the Summary

In the Co-Pilot pane, enter the following prompt:

"Using this spreadsheet, create a de-identified list of unique clients showing:

- Client postcode
- Total completed trips for the selected reporting period

Exclude all personal information such as names, addresses, phone numbers, email addresses, and client IDs.

Group duplicate clients into a single record and provide the total trip count for each unique client."

 

Step 4: Review the Results

Copilot will generate a summary containing unique client postcodes and their total trip counts for the selected reporting period. Review the results to ensure they meet your reporting requirements and do not contain any identifiable client information.

 

Step 5: Save or Export the Results

Copy the generated output into a new worksheet or save it as a separate Excel file for distribution or further analysis.
