This provides the how-to for the Bookings section in the Orcoda Booking System.
The Bookings Page
The Bookings page, accessed via the BOOKINGS link of the Navigation menu. Bookings can be accessed for any particular day by clicking on the relevant day of the month.
The relevant month can be selected by clicking the arrow buttons .
Restricting by region
To restrict by a particular region, select the relevant region from the REGIONS dropdown menu.
Day's Bookings
The Day's Booking page, accessed via the Bookings page, provides access to the bookings for a selected day.
From here, users can review bookings for the day, lock the days bookings via the LOCK BOOKINGS link, as well as download a CSV file of the bookings for the day via the DOWNLOAD CSV link.
Error Correction
Sometimes a booking will be created with an address error. These bookings can be viewed from the Day's Bookings page.
Typing 'warning' into the search field will show all bookings with errors (highlighted in pink). These can be clicked on to be reviewed (see The Booking page) and necessary changes made.
The Booking Page
The Booking page, accessed by selecting a booking from the Bookings page, provides access to the details of a selected booking.
From here, users can:
- Update a selected booking's details
- View the booking's Log via the LOG link
- Edit the booking status via the EDIT BOOKING STATUS link
- Adjust the address location via the EDIT PLACE link
To update the details of the selected booking after making changes, ensure the UPDATE BOOKING button at the bottom of the page is clicked to save changes.
Booking Log
The Booking Log page, accessed via The Booking page, displays a log of updates to a booking.
Details of an update are revealed via the CLICK TO SHOW DETAILS link.
Adjust Address Place
The Edit Place page, accessed via the EDIT PLACE link on The Booking page allows a user to correct the address for a Place that is not geocodable by Google.
Once updated, this corrected street address and coordinates will be used for all bookings using that Place for future bookings.
To update, drag the Balloon to the correct location on the map.
Once the Balloon is in the correct location, update the street number in the CONFIRM STREET NUMBER field.
Click the UPDATE PLACE button to update.
Edit Booking status
The Edit Booking Status page, accessed via the EDIT BOOKING STATUS link on The Booking page or the Edit booking page, allows users to override the status and cost for an individual booking.
To update the amount paid by the passenger (the co-pay amount), click the OVERRIDE BOOKING IN-FIELD DATA checkbox, enter the new amount in the FINAL CO-PAY OVERRIDE field and the reason for the override in the FINAL CO-PAY OVERRIDE REASON field.
To change the status of the booking, select the status from the FINAL OVERRIDE STATUS dropdown menu.
Click the UPDATE BOOKING button to save.
Locking Bookings
The Lock Bookings page, accessed via the Day's Bookings page, provides functionality for users to lock bookings for the day. Once bookings are locked the OLMS system can begin optimisation and allocation for the next day's run.
Select the region to lock from the REGION dropdown menu, then click the LOCK BOOKINGS button to lock.
Note: Once a day is locked, bookings can no longer be edited from the Orcoda platform. Bookings can be deleted in the Orcoda platform after locking bookings if required (see Cancel Booking).
New bookings can be added after locking bookings. These bookings will be marked in blue on the Day's Bookings page. These late bookings will show in the UNASSIGNED folder in OLMS.
