This provides the how-to for using Locations in the Orcoda Booking system.
Locations
Locations can be accessed via the LOCATIONS link of the Navigation menu. Locations can be searched in the SEARCH LOCATION field (See Searching a Location).
Locations that have been incorrectly entered (ie. will cause errors for drivers) are highlighted in pink, and show at the top of the page (see Entering an address correctly).
Locations can be added via the ADD LOCATION link (see Adding a Location).
Locations can be added by CSV via the ADD FROM CSV link (see Add from CSV).
Searching a Location
As a user begins to type in the SEARCH LOCATIONS field. the number of locations appearing below this field will decrease as the search function narrows down the relevant locations.
The system begins searching as soon as the user begins typing in the SEARCH LOCATION field. The number of locations appearing below this field will decrease as the search function narrows down the relevant locations.
Locations may be searched by:
- Location name
- Street address
- Suburb
- Optional information
Once found, click to select the relevant location. This navigates to the Edit Location screen.
Adding a Location
The Add Location page, accessed via the Locations page, provides functionality to add new locations.
From here, users can enter the location details, specify the location type via the TYPE dropdown menu, and restrict the location as car only via the CAR ONLY checkbox.
Note: see Entering an address correctly for details on how to enter an address correctly.
Add From CSV
The Add From CSV page, accessed via the Locations page, provides functionality to upload locations from a .csv file.
From here, add a .csv file by clicking the CHOOSE FILE button and selecting the appropriate file from your device.
Note: The CAR ONLY field requires YES or NO to be processed correctly. If YES is entered into the column, the location will have the "CO" constraint added to them, and will only be able to be completed by vehicles that have the "CO" attribute attached to them.
Once the appropriate file has been selected, the contents will be displayed in the table at the top of the page. Confirm the information has been entered correctly, then click the ADD LOCATIONS button to add.
Edit Location
The Edit Location screen, accessed via the Locations page, provides functionality for users to review existing location information, and perform the following:
- Specify Location type, phone number, and Car Only status
- Update address details
- Delete Location
Delete Location
A location may be deleted from the Edit Location page. Click the DELETE LOCATION button to delete.
Updating by Searched Address
A correct location address can be added via the CORRECTED ADDRESS field. See Entering an address correctly for how to add an address correctly.
The location name may be update in the CORRECTED LOCATION NAME field, and optional address information may be updated in the CORRECTED OPTION field.
Note: DO NOT search in the CORRECTED ADDRESS field using the location name. The corrected address must be a Correct Address (see Entering an address correctly for correct address addtion). Only enter a CORRECTED ADDRESS if the original address is incorrect.
Refine Coordinates
The Refine Coordinates page, accessed via the Edit Location page, provides functionality to make refinements beyond the street address.
From here, users may drag the balloon to the exact place on the map. Click the SAVE CORRECTED COORDINATES button to save.
Note: Ensure the balloon is placed on a navigable road.
Satellite View
It is worth noting that Satellite view is especially helpful for determining whether the balloon has been dropped on the best spot on the map for driver access.
Once the user is satisfied that the balloon is in the correct location, click "Save Corrected Coordinates".
Location Type
A location may have its type specified from the Edit Location page. To change, click on the TYPE dropdown menu, select relevant type, then click UPDATE LOCATION.
Car Only Status
A Location can be designated as Car Only via the Edit Location page. To designate, click the Car Only checkbox, then the UPDATE LOCATION button.
Viewing the Fleet
The Fleet page accessed via the FLEET link of the Navigation menu. Here users can view the number of vehicles that are in service for each day of the month.
Vehicles are automatically put into or taken out of service for a day based on the schedule specified on the Edit vehicle page.
To see the fleet for a specific day, left click on the relevant day.
Restricting By Region
When viewing the fleet it is possible to restrict by region. Select the relevant region from the REGIONS dropdown menu.
Editing the fleet for a specific day
Selecting a specific day (see Viewing the fleet) navigates the view of all the vehicles that can be (or have been) set as in-service or out-of-service for the day.
From here, selecting a specific vehicle navigates to the Edit Vehicle Schedule page.
Editing a Vehicle
From the Edit Vehicle Schedule page, the vehicles Scheduled status (in-service / out-of-service) can be set, as well as the service start and end period.
Click the UPDATE SCHEDULE button to save the changes made.
